The Bill of Materials (BOM) is the most critical document in electronics assembly. While Gerber files show where components must be placed physically, the BOM tells the assembly house exactly which components to purchase, down to the exact manufacturer, package type, voltage rating, and tolerance. An ambiguous or incomplete BOM causes procurement bottlenecks, wrong part deliveries, and assembly delays. Here is how to prepare a professional, manufacturing-ready BOM for turnkey PCBA.
The Essential BOM Columns Required for PCBA
To ensure seamless procurement and automated pick-and-place loading, your BOM spreadsheet (.XLSX or .CSV) should contain the following eight columns:
| Column Header | Description & Requirements | Example Entry |
|---|---|---|
| Item # | Numerical line item sequence | 1, 2, 3... |
| Designator | Comma-separated component reference designators matching silkscreen | C1, C2, C5, C8 |
| Quantity | Total count of parts used per board | 4 |
| Manufacturer Part Number (MPN) | Exact, complete part number (not generic description) | CL21B104KBCNNNC (Samsung) |
| Manufacturer | Name of the component manufacturer | Samsung Electro-Mechanics |
| Description / Value | Value, tolerance, voltage rating, and dielectric | 0.1µF (100nF), 50V, X7R, ±10% |
| Package / Footprint | Physical SMD/THT package dimensions | SMD 0805 (2012 metric) |
| Substitution Allowed? | Whether equivalent pin-compatible parts are approved (Yes/No) | Yes (must be 50V X7R 0805) |
Why Generic Descriptions Cause Project Delays
Listing '10k resistor' or '100nF capacitor' without a full Manufacturer Part Number (MPN) creates ambiguity. A 10k resistor could be an 0402 micro-chip, an 0805 1/8W resistor, a 2W high-voltage through-hole resistor, or a 0.1% precision instrument part. Supplying exact MPNs ensures our procurement engineers in Coimbatore order the exact footprint and rating intended by the circuit designer.
Handling SMT Feeder Attrition Allowances
When automated pick-and-place machines feed passive components from cut-tape, a small percentage of parts is consumed during feeder tape loading. For small prototype runs (e.g. 5 boards using 10 pieces of a 0.1µF capacitor = 50 pcs), always specify a modest overage allowance (e.g. 10–20 extra passives) to ensure assembly lines do not stall if a tiny 0603 resistor is dropped during setup.
